What this policy covers

This Privacy Policy explains how PGTribes ("the Platform", "we", "us", "our") collects, uses, shares and safeguards your personal information when you use our website, mobile applications and related services. By using the Platform, you consent to the practices described below.

1. Information We Collect

We collect information that helps us run the Platform, verify users, process bookings and provide a safe environment for both tenants and PG owners.

Information you provide directly:

  • Account details — name, email address, phone number, date of birth and password.
  • KYC documents — government-issued ID (Aadhaar, PAN, driving licence, passport), selfie/face verification, and address proof.
  • Property details (for owners) — addresses, photographs, amenities, pricing and ownership documents.
  • Booking, rent and payment details — bank account or UPI ID for owners; transaction history for tenants.
  • Communications — messages exchanged through the Platform, complaints, reviews and support tickets.

Information collected automatically:

  • Device information — IP address, browser type, operating system, device identifiers.
  • Usage information — pages viewed, search queries, properties shortlisted, time spent and click patterns.
  • Location information — approximate location based on IP, and precise location only when you grant permission (used to surface nearby PGs).
  • Cookies and similar technologies — used for session management, preferences and analytics.

Information from third parties: We may receive information from payment gateways (transaction status), identity-verification partners (KYC results) and social login providers if you choose to sign in via Google or other providers.

2. How We Use Your Information

We use the information collected for the following purposes:

  • To create and manage your account, verify your identity and authenticate sessions.
  • To list, search, shortlist, book and manage PG properties.
  • To process rent payments, security deposits, subscription fees and refunds.
  • To facilitate communication between tenants and owners while keeping personal contact details private.
  • To send transactional notifications — booking confirmations, rent receipts, complaint updates and security alerts.
  • To send marketing communications (only with your consent) about new properties, offers and platform updates. You can opt out anytime.
  • To detect, investigate and prevent fraud, abuse, security breaches and violations of our Terms.
  • To improve the Platform, develop new features, conduct analytics and personalize your experience.
  • To comply with legal obligations, respond to lawful requests from authorities and enforce our agreements.

3. How We Share Your Information

We never sell your personal information. We share it only in the following limited circumstances:

  • Between tenants and owners — limited details such as name and verified status are shared when a booking is initiated, to enable the rental relationship. Phone numbers and direct contact details are masked by default and revealed only as required for a confirmed booking.
  • Service providers — payment gateways (Razorpay, Cashfree), SMS/email providers (MSG91 and others), cloud hosting providers, identity-verification partners and analytics tools. These partners process data only on our instructions and under confidentiality obligations.
  • Legal and safety — when required by law, court order, or to protect the rights, property or safety of PGTribes, our users or the public.
  • Business transfers — in the event of a merger, acquisition or asset sale, your information may be transferred as part of that transaction, subject to confidentiality.

We do not share your contact details with brokers. Owner–tenant conversations are routed through the Platform to keep your information private.

4. Cookies & Tracking Technologies

We use cookies and similar technologies to keep you signed in, remember preferences, understand how the Platform is used and improve performance.

You can control cookies through your browser settings. Disabling cookies may affect certain features such as staying logged in or saving your shortlist.

5. Data Retention

We retain personal information only as long as it is necessary to fulfil the purposes described in this policy, or as required by applicable law.

  • Account information is kept while your account is active and for a reasonable period after closure, to handle disputes and comply with statutory obligations.
  • KYC and transaction records are retained as required under applicable Indian law (typically up to 8 years for financial records).
  • Anonymised and aggregated data may be retained for analytics indefinitely.

6. Data Security

We employ industry-standard safeguards to protect your information — including HTTPS encryption, hashed passwords, role-based access controls, secure data centres and regular security reviews.

Payments are processed through PCI-DSS-compliant gateways. We never store full card numbers, CVVs or UPI PINs on our servers.

However, no system is perfectly secure. You are responsible for keeping your password confidential and notifying us immediately if you suspect unauthorized access to your account.

7. Your Rights & Choices

You have the following rights with respect to your personal information:

  • Access — request a copy of the personal data we hold about you.
  • Correction — update inaccurate or incomplete information through your profile or by contacting us.
  • Deletion — request deletion of your account and associated data, subject to legal and contractual retention requirements.
  • Withdraw consent — opt out of marketing communications or revoke permissions (such as location access) at any time.
  • Portability — request a structured copy of your data in a commonly used format.
  • Grievances — raise concerns with our Grievance Officer (details below).

To exercise any of these rights, write to privacy@pgtribes.com. We will respond within a reasonable timeframe, generally within 30 days.

8. Children's Privacy

The Platform is not intended for users under 18 years of age. We do not knowingly collect personal information from minors. If you believe a minor has provided us information, please contact us so we can delete it.

9. Third-Party Links

The Platform may contain links to third-party websites or services that are not operated by us. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies before sharing any information.

10. International Data Transfers

Our servers and some of our service providers are located in India and other countries. If you access the Platform from outside India, your information may be transferred to, stored and processed in India. By using the Platform, you consent to such transfers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. For material changes we will make reasonable efforts to notify you via email or in-app notification.

Continued use of the Platform after changes are posted constitutes your acceptance of the revised policy.
